Property management software pricing models
Four common pricing models. Each one is structured to favor a different size of landlord. Here's how to read them and pick the right one for your portfolio.
1. Per-unit (per-door)
Charges a fee per rental unit you manage, typically $1–$5/unit/mo, often on top of a base subscription fee. Used by Buildium, AppFolio, RealPage, and many mid-market platforms.
Best for: very small portfolios (1–10 units) where per-unit fees stay small, or large portfolios where you've negotiated a volume discount.
Hurts you when: you're in the 30–250 unit range or growing fast.

2. Minimum-spend / minimum-unit
Vendor sets a floor: "minimum 50 units" or "$298/mo minimum spend." Below that threshold, you can't subscribe. AppFolio Core uses this — 50-unit minimum, $298/mo floor.
Best for: mid-to-large landlords (50+ units) who would have hit the floor anyway.
Locks you out when: you're below the minimum threshold. AppFolio is simply not available to a landlord with 20 units, no matter how much they want it.
3. Tiered / capped
Multiple tiers each with a unit cap. DoorLoop's Starter tier ($69/mo) caps at 10 units; above 10 you bump to Pro ($189/mo monthly billing or $149/mo annual). Above 300 units, quote required.
Best for: landlords who fit cleanly inside a tier (e.g. 5 units on Starter, or 100 units comfortably on Pro).
Hurts you when: you're at the cliff. Going from 10 to 11 units bumps you from $69/mo to $189/mo — a 2.7× jump for one extra lease.
4. Flat-rate
One monthly fee regardless of portfolio size. PF9 Property Suite is $119/mo flat for unlimited units, unlimited tenants, unlimited team members. Smaller players in the space use similar models.
Best for: 30–250 unit landlords who want predictable software costs and the ability to grow without re-shopping software.
Trade-off: flat-rate vendors are typically newer and ship less surface area than mature per-unit platforms. PF9 doesn't have integrated tenant screening or AI leasing assistants, for example.
